Office Receptionist
Overall Responsibility:
The America First Policy Institute (AFPI) is seeking a highly professional and personable Receptionist to serve as the first point of contact for visitors and staff. The ideal candidate will possess exceptional communication skills, a strong work ethic, and a commitment to professionalism, hospitality, and AFPI’s America First values. The Receptionist will play a critical role in creating a welcoming environment, ensuring efficient front-office operations, and supporting administrative activities across the organization.
Responsibilities and Duties:
- Greet and assist visitors, guests, and staff with a courteous and professional demeanor.
- Manage front desk operations, including answering, screening, and directing incoming calls and emails promptly and accurately.
- Maintain a tidy and organized reception area that reflects AFPI’s professional standards.
- Coordinate scheduling for conference rooms, visitor appointments, and other meeting logistics.
- Receive, sort, and distribute mail and deliveries, ensuring efficient internal communications.
- Provide general administrative support to AFPI departments, including data entry, document preparation, and scheduling assistance.
- Assist in the coordination of on-site events, meetings, and conferences.
- Maintain confidentiality regarding sensitive information and uphold AFPI’s internal policies and procedures.
- Uphold and represent AFPI’s mission and values in all external and internal interactions.
- Perform other related duties as assigned to support the smooth functioning of the organization.
Consults With:
Executive leadership, administrative staff, policy experts, communications and development teams, visitors, and external partners.
Type of Employment:
Full-time, in-office
Qualifications:
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- 2+ years of experience in a receptionist, administrative assistant, or customer service role.
- Strong alignment with America First principles and commitment to AFPI’s mission.
- Outstanding interpersonal, communication, and customer service skills.
- Highly organized with excellent attention to detail and the ability to multitask in a fast-paced environment.
- Proficient with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and office equipment (printers, copiers, etc.).
- Professional appearance and demeanor with a strong sense of discretion and confidentiality.
- Ability to work independently and collaboratively across teams.
- Experience supporting leadership staff or executives is a plus.
