Policy Operations Manager
Overall Responsibility:
The America First Policy Institute (AFPI) is seeking a highly organized, proactive, and professional Policy Operations Manager to support the Chief Policy Officer and designated members of the Policy Leadership team. Reporting directly to the Chief Policy Officer, the Policy Operations Manager will serve as a strategic administrative partner, ensuring seamless calendar management, internal coordination, executive communications, and operational efficiency across the Policy Department. This position is ideal for a detail-oriented professional who thrives in a fast-paced policy environment and is motivated to support impactful work advancing AFPI’s mission.
Responsibilities and Duties:
- Manage and prioritize a complex and dynamic calendar for the Chief Policy Officer, including internal and external meetings
- Coordinate scheduling across departments and with external stakeholders, ensuring efficient time management and clear communication
- Prepare briefing materials, meeting agendas, background documents, and follow-up summaries to support executive decision-making
- Draft and manage correspondence on behalf of the Chief Policy Officer, as requested
- Provide designated scheduling and administrative support to select members of the Policy Leadership team
- Coordinate internal policy meetings, retreats, planning sessions, and external stakeholder engagements
- Track key policy initiatives, deadlines, and deliverables to ensure timely follow-through
- Maintain organized digital filing systems and documentation processes for the Policy Department
- Support travel logistics and expense reporting in accordance with AFPI policies
- Exercise discretion and sound judgment when handling confidential and sensitive policy matters

Qualifications:
- Demonstrated alignment with AFPI’s mission and commitment to advancing policies that put the American people first
- Bachelor’s degree preferred
- 3–7 years of experience providing executive-level administrative support, ideally within a policy organization, government office, nonprofit, or think tank environment
- Exceptional organizational and time-management skills, with the ability to manage multiple competing priorities
- Strong written and verbal communication skills, including professional correspondence drafting
- High level of discretion, professionalism, and sound judgment
- Proficiency in Microsoft Office and calendar management systems
- Experience supporting multiple senior leaders in a fast-paced environment preferred
- Ability to anticipate needs, identify potential scheduling conflicts, and proactively solve problems
